Terms and Conditions for Made in the Cotswolds Participants
1. Concerning all Participants
1.1 PAYMENT OF FEES: Once the closing date for entries has passed, all artists and venues will be sent a request for payment. Payment must be received within 10 days to guarantee inclusion in any printed materials. In addition, for exhibition artists, payment must be received within 10 days to guarantee exhibition space in the Cotswolds House Hotel (see 2.1 below)
1.2 INSURANCE: All participating venues are responsible for their own Public Liability Insurance where appropriate. The Cotswold House Hotel has Public Liability Insurance, but this does not cover damage or loss to artists' work being exhibited there. As such the insurance of such work is each artist's responsibility. The Cotswold House Hotel will ensure that The Montrose Suite is locked when the exhibition is closed.
1.3 ADVERTISING: All exhibiting artists and all participating venues will receive
- Advertising of participation through a listing in the event brochure,
- Advertising of participation through a listing on the event website including a link to their own website
- Advertising of their participation through social media
- Branded bunting to position outside their participating venue for the weekend
- Event poster to display (open studios and creative venues)
1.4. INDEMNIFICATION: The Organisers exercise all reasonable care for the comfort and safety of participants, exhibitors and their property but the Organisers are not responsible for any loss or damage suffered by the participator or his/her property. Participants are responsible for any claims resulting from the display or sale of their works.
2. Specific to artists exhibiting in the Cotswolds House Hotel
2.1 APPLICATION: In the event of over-subscription to exhibit in the Cotswold House Hotel, priority will be given to those artists that have participated in previous Made in the Cotswold festivals. A waiting list will be held in case of cancellations. Payment must be received within 10 days of invoice to guarantee an exhibition space. Failure to pay in time may result in your space being offered to an artist on the waiting list. The organisers reserve the right to decline an application from any applicant whose work, in the opinion of the organisers, does not meet gallery exhibition standard.
2.2. EXHIBITS:
The subject of your exhibits must be suitable for a family audience. The Organisers take no responsibility for artists infringing copyright. All works must have a clearly visible label detailing your name, title of work, medium and retail price. Where possible, all works should have the retail price clearly marked on the reverse or underside. If appropriate, framing must be to a professional standard with picture cord or wire for hanging. All works MUST be for sale or to commission unless agreed otherwise in advance with the Organisers.
2.3. SET UP: Work being exhibited in the Montrose Suite and gardens at The Cotswold House Hotel will need to be delivered and displayed by participants from 7.30am on Saturday 22rd September and in situ by 10 am at the latest ready for 10.30am opening. Whilst every effort will be made to adhere to these times, the organisers reserve the right to change them prior to the event as requested by the management of the Cotswold House Hotel. Should this occur, every effort will be made to provide exhibitors with as much notice as possible.
2.4. STEWARDING: All exhibition artists must man their space for the duration of the exhibition. Those artists that have opted to demonstrate must do so for at least 2 hours on each day. The organisers do not accept any responsibility for work left unattended.
2.5. PACKAGING: The participation fee includes general packaging and wrapping of work (tissue paper, bubblewrap and bag). Artists are responsible for providing any specialist packaging they require.
2.6. SALES, COMMISSION AND PAYMENTS: There will be a central information and payment point in the Montrose Suite to process all sales by exhibitors at The Cotswold House Hotel. Where possible, purchasers will be asked to collect the work between 4pm and 5pm on Sunday 23rd September and the work will be marked as sold. Exhibitors may choose to replace sold items with alternative works for sale. Made in the Cotswolds will deduct debit and credit card transaction fees and take 10% commission on all sales to offset the cost of staging this event. These charges will be deducted from the monies paid to exhibitors. Payments for sold works will be sent by bank transfer within two weeks of the end of the show. Please ensure that you provide the Organisers with your bank details either before or at the weekend. It is the Organisers intention to have a shop area at Cotswold house Hotel where participants will be able to place lower value items (e.g. cards) for sale. All items submitted to the shop must be individually labelled with the price of the item and the exhibitor's name.
2.7. COLLECTION FROM THE SHOW: All works must be cleared from the Montrose Suite and gardens between 5pm and 6pm on Sunday 23rd September.
2.8.
